Apps and platforms

The Tana desktop app is available for Mac, Windows, and Linux, and provides features beyond the web experience. Download it from the download page, which detects your operating system, or from the Download button in the top navigation.

On the desktop app, Tana captures external meetings through your computer's own audio. Because it captures the audio your machine plays, it works across any meeting platform rather than a fixed set, and it is designed to be lighter on your machine and more reliable. This is the default capture mode on the Mac and Windows desktop apps, and it is not available on Linux.

A small always-on-top window opens a couple of minutes before a scheduled meeting so you can act in one click, with pause and stop controls right in the window. Its main button depends on the meeting:

• Open & Capture for an external meeting that has a join link. One click starts recording and opens the link, so a join that gets blocked never leaves you unrecorded.
• Capture Meeting for an external meeting with no link.
• Join Meeting for a Tana meeting with two or more people, which takes you straight into the call.

Click the window's title to open the meeting in Tana. You can also start a capture from the Today toolbar for a meeting that is not on your calendar. If someone else in your organization is already capturing the same meeting, the window names them and asks you to confirm before starting a second recording, so it is not recorded twice.

System-audio capture needs the operating system's microphone and system-audio permissions. If Tana does not have them, it will not start recording; instead it brings Tana to the front and opens Settings, Permissions, where you can grant microphone and system-audio access and try again.

In the transcript your own audio is attributed to you, and the other participants are split out as separate speakers ("Speaker 1", "Speaker 2", and so on). If the meeting is not already on your calendar, Tana creates a matching event for it.

Auto wrap-up: External captures get the same periodic mid-meeting wrap-ups and section refreshes that in-app calls get, on top of the post-recording wrap-up. The event picks up a tagline, a summary, and outcome proposals without you needing to open it.

One capture at a time: An external meeting capture and an in-app Tana call cannot run at the same time on the same device. Trying to join a Tana call while a capture is recording shows a toast asking you to stop the capture first. Starting a capture while you are already in a Tana call is blocked the same way.

Tabs

Open multiple documents in separate tabs within one window. The tab bar appears at the top when you open a second tab. Each tab maintains its own navigation history and split view state.

Use Cmd+TCtrl+T to open a new tab, Cmd+WCtrl+W to close the current one, and Ctrl+TabCtrl+Tab or Ctrl+Shift+TabCtrl+Shift+Tab to cycle between them. Cmd+1Ctrl+1 through the eighth tab jumps straight to that tab, and Cmd+9Ctrl+9 jumps to the last one. Cmd+ClickCtrl+Click on any link opens it in a new tab.

Split view

Work with two documents side by side. Use Cmd+Option+ClickCtrl+Alt+Click on any link to open it in the other pane. Drag the divider to adjust the split ratio. Each pane can be closed independently.

Use Cmd+Shift+ClickCtrl+Shift+Click on a link to open it in a new window instead.

Find in page

Use Cmd+FCtrl+F to open a find bar that searches the current page. Enter jumps to the next match, Shift and Enter to the previous, and Escape closes it.

Profiles

The Profiles menu in the application menu bar lists your profiles and New Profile..., which opens a window with its own isolated sign-in. Use profiles to stay signed in to multiple accounts or organizations side by side, each in its own window.

External meeting capture

The desktop app can detect active Zoom, Teams, and Google Meet calls and capture their audio and screen content for transcription and outcome extraction. See External meeting capture for the full workflow.

System tray

The desktop app installs a menu bar icon that shows today's agenda across every organization you are signed in to. Events are listed in time order. When you are in more than one org, each event is labelled with the org it belongs to so it is clear which org it is from. The menu bar title shows the meeting that is happening right now, or the next one coming up if nothing is in progress. Click any event to jump to it.

Deep links

The desktop app registers the tana-app:// URL scheme. Links in this format open the corresponding document directly in the app, making it easy to link to Tana content from other tools.

Tana follows your system appearance and renders in light or dark to match. The whole app switches together, so Today, meetings, documents, and chats always agree, and changing the setting on your machine applies immediately without a reload.

Tana works in any modern browser at home.tana.inc. The web app can be installed as a PWA (Progressive Web App) for a more app-like experience.

The web app has the same core workspace and meeting features as the desktop app. Desktop features, including tabs, split view, profiles, external meeting capture, the menu bar agenda, and tana-app:// links, are not available in the browser.
