Get IT approval to connect Outlook

If Microsoft asks for admin approval when you connect your Outlook calendar, send your IT admin a ready-made message that explains Tana, its security, and the two-minute approval.

Many companies require an IT admin to approve apps before they can access Microsoft 365 calendars. If you see an "approval required" screen when you connect Outlook, your admin needs to approve Tana once. After that, everyone at your company can connect their calendar.

Why you're seeing this

Microsoft treats calendar data as company data, so most organizations only let admins approve apps that read it. This is a company setting. It doesn't mean anything is wrong with your account or with Tana.

An admin approves Tana once for the whole organization. It takes them about two minutes.

Ask your admin to approve Tana

1
Copy the message below

It explains what Tana is, how Tana handles security, and exactly what your admin needs to do.

2
Send it to your IT admin

Paste it into Slack, Teams, or email. If you don't know who your admin is, ask in your IT or help desk channel.

3
Connect your calendar

Once your admin has approved Tana, open Settings, then Integrations, and connect Outlook again.

Message for your IT admin

Hi 👋

I'd like to connect my Outlook calendar to Tana, but Microsoft says it needs admin approval. Could you take a look?

What Tana is: Tana turns our meetings into shared team knowledge. A lot of context lives in our calls: decisions, customer insights, who owns what and why. Tana can capture all of it and make it easy to share with the whole team or selected people, so nobody has to chase down notes or schedule another meeting to get aligned. It also helps us act on what was said: Tana drafts follow-ups, files issues and logs decisions while we're still talking. It works with Zoom, Teams and Meet, with no bot joining the call. Calendar access lets Tana see which meetings I have and who's in them, and lets me answer invitations, create events, or add a Tana meeting link from inside Tana.

Security and compliance:

  • Verified Microsoft app (publisher-verified in Entra)
  • SOC 2 Type 2 and GDPR compliant, with always-on pentesting: https://heist.security/verify/jdFhYB0E3soFye6Q4qXkbA
  • No training on our data, neither by Tana's models nor by anyone else's
  • Access follows the people who were in the meeting, and nothing is shared further unless someone chooses to share it
  • SSO and granular access control are available
  • Each user connects their own calendar. Approving the app does not give anyone access to other people's calendars
  • Privacy policy: https://tana.inc/privacy

What you need to do (about 2 minutes):

  1. Open this link, signed in as a Global Admin, Cloud Application Admin or Application Admin: https://login.microsoftonline.com/organizations/adminconsent?client_id=81bbd086-ce71-495f-9486-4310fa7d8426
  2. Review the permissions and click Accept.
  3. Done. Anyone in our org can now connect their calendar in Tana.

Alternative: if our tenant uses admin consent requests, my request may already be waiting in the Microsoft Entra admin center under Enterprise applications → Admin consent requests. Find Tana there and approve it.

Optional: to limit Tana to certain people, go to Enterprise applications → Tana → Properties, set "Assignment required" to Yes, and add users or groups under "Users and groups".

Thanks! 🙏

Questions admins often ask

Can we limit who in our organization can use Tana?

Yes. In the Microsoft Entra admin center, go to Enterprise applications, then Tana, then Properties. Set Assignment required to Yes, and add the users or groups who should have access under Users and groups.

Does approving Tana give anyone access to other people's calendars?

No. Admin approval lets each person connect their own calendar. Tana only accesses the calendar of the person who connected it. It reads their events, and only changes something when that person asks it to, like answering an invitation or adding a Tana meeting link.

Why does Tana ask to read and write calendars?

Tana reads events to know which meetings you have and who's in them. Write access is used only when someone acts in Tana: answering an invitation, creating an event, or moving a meeting to a Tana meeting link.

Is our data used to train AI models?

No. Nothing said in a meeting is used to train Tana's models or anyone else's.

How do we revoke access later?

In the Microsoft Entra admin center, go to Enterprise applications, then Tana. You can turn off sign-in for users under Properties, or delete the application to remove all granted permissions.

Can we do a security review first?

Yes. Write to support@tana.inc and we'll share our SOC 2 report and answer your security questionnaire.
